A Few Tips for Managing Information Overload

Infotechtools class has prepared us to work with many social networking software, word processing software, and photos/videos editing software, and most of all how to handle them. After we learned about the existence of these software and their availabilities for free we were asked to collaborate in a document writing process. We had to use Google Docs and WetPaint Wiki to write about the different types of Social Networking Software (SNS) and word processing software.

Our class was able to attend in a long discussion using Google docs in a collaborative way so we all were able to contribute in the same time. I think it was a very good session in collaboration. Unfortunately I did not check my email till late the following day when I discovered another session late that day. It was hard for me to follow up when I was typing away in one document and the conversation was still going in YUGMA were the meeting took place.

I tried to be on top of things to keep up with what other need to complete their task since this was a group task, therefore I finished most what is needed to complete my group section, and left my comments till 5:00 and 6:00 in the morning while I was still working that night.

Continued From My Last Response: For all the different web sites that require and UN and PW, I really like to use the "save password" option with FireFox and IE but these seem to have potential security issues. Also, using one username and password for all the sites seems not-so-safe either. One method that I seem to keep going back to is write the site, my UN and PW on an index card and keeping it by the computer. It seems to work but it's very inconvenient.

Task#4: How to manage many information resources

I used to work with emails and slightly in social networking such as facebook and hi5 before. I have a number of different email accounts in hotmail, yahoo and gmail for different purpose. I prefer to use ysu email account to transmit secure information because we can simply get handed all information from ysu tech team if we lost password or if we need any technical support. There is almost no junk emails arrives in ysu email account. Moreover, I use this ysu email for more formal communication.
I use hotmail, yahoo and gmail for the informal communication with friends, families. Now I have a number of email, website, blogs, social networks and more in the internet. It is really hard to manage these all stuffs. Fortunately we have such interface of website which collects most of these gadgets together. For example, I prefer to use IGOOGLE to gather all these gadgets in a single place. Once I signed into the IGOOGLE, I am able to create different “tabs” and put related gadgets together. I have the hotmail, yahoo, aol, gmail login interface in a single tab. I have another tab called “study center” where there are the link of different course related website. In addition I have added digg application in a tab. Same way I have a jobs and career tag where there are a number of updated news on job market and career opportunities. In brief, we can add our favorite gadgets in a tab and manage the information on it. For example I should not go the hotmail website to log into my account, I can simply login yahoo, hotmail and aol accounts from IGOOGLE.
In addition, I use different application on facebook such as del.icio.us, note, myoffice, Blog rss and feeding, stumble upon, twitter, friend feed into facebook to gather and see the dissiminate my information. When I make change in my blog, It appears in my facebook application automatically once I added the application on facebook.

My first email I used was Hotmail. Ten years ago this was a very good thing. Today I rarely hear someone using it. After a while I used Yahoo mail for my email, it was very hard to inform everyone about the change. I was missing a lot of important email. So I decided to forward one email to another. It made it very confusing in the end. Finally I found Google mail, which is my favorite I can manage easily all my emails it looks the same from the first use but it simplified a lot of problems for me and a lot of time.
Now in this class (InfoTechTools) I am able to engage in many websites and weblogs and emails; also many social networking software, word processors online as well on desktop the same for photos and videos and keep track of them on one website. I am much unorganized lately due to the lack of spare time. I am working full time and school full time plus family and I am still capable on tracking most of the updates and changes.

I start using internet when I was in grade 8. The first page I opened was www.yahoo.com. In yahoo I created my yahoo account. I start using yahoo mail since then. After some time I opened my email account in hotmail and gmail. The main advantage I realize between the yahoo mail and gmail are storage capacity and delay in delivery. I figure out that if you have to attach bigger sized files gmail is better. It’s a bit faster compare to yahoo. Usually if I have to save my files online, I save them on yahoo briefcase. It is easy to use.

Before this class I have a whole bunch of important web address in MS word document stored in my yahoo briefcase. Now it’s really easy. I can use online word processor like zoho and google docs instead of ms word. I can use the bookmarking software like delicious, stumbleupon and digg.

Before this course, I usually used e-mail as a communication tool. I have 3 different accounts (Yahoo, Gmail and Hotmail), but I was manly using my Yahoo account. It was very easy to manage and organize mail, since everything was in one place. But recently I noticed some negative issues related to Yahoo. My e-mails were constantly late, and some of them I never received. So, I am planning to switch from Yahoo to Gmail, which is not simply, since I need to inform all my contacts (a lot of them) about my plan. Unfortunately, it means that I am going to deal with both Yahoo and Gmail in couple months. I manage some of the websites used in this course through e-mail notification (for example Ning). It is easy, and I don’t have to check website all the time, since I am informed whenever someone writes a post. E-mail notification for Facebook also helps me to keep track of all new massages. It is very hard to remember all websites covered in this class, so I use Zotero in order to organize them. Some people like to use different usernames and passwords in order to save privacy. I usually have problem to remember different passwords, and I decided to use always the same username and the same password. I realized that it was excellent decision for this course.

Actually I tried to find a way in which I can handle or at least know what all going on in all my accounts on different sites and blogs. I discussed this even with some of my friends, searched on internet, and some other sources. Many of them told me that they don’t use many sites or blogs, so it is easy to manage. Some say they have one important mail ID, I mean which they use for all their works which they have a good priority, and another ID for some unimportant things which they don’t want to check daily. They have only one or two blogs to manage or they read them on Google reader. In my case I used to manage all my e-mails on Yahoo, and I used to separate them on their nature like school purpose, friends mails, family mails, and some other categories like this in separate folders on yahoo mail itself, but then I got introduced to Gmail and I am impressed by the space allocated for the users by them and then I started shifting towards Gmail as it saves the contacts by itself unlike Yahoo. Now for the past few years I created two more mail ID’s on Gmail and yahoo, which I use each of one for one separate prepossesses, like to manage bank accounts with at most security, one for fun and friends, another for professional, etc. But still with this class, as I am registered for good number of sites and blogs, I really hadn’t figured yet How to manage all of them with easy. Even on the NING some of the activities will be mail to my Gmail id and some or not, I don’t know what is wrong with it, I haven’t even figured the reason till now. As of now I am doing it like, checking the mails and other important stuff once in the morning or before going to bed, a day, all the class work and other stuff once in 2 or 3 days, fun and other stuff once in a week.

Same as almost everybody in this class, i tried to make it less confusing for me and for other people trying to view my websites by using the same user name or nickname for all web pages. I have been using hadichammas as my user name because it's easy to identify. So far i've been getting lucky and none of the websites i joined for this class rejected this user name. I guess this is the advantage of having a not so common name.

To try to make it as easy as possible to keep up with all of these new resources, I have added all the links as favorites on my computer as well as checked of the box to remember me when going to the site in the future from my computer. I tried to keep it simple by having the same login on each site. My login on the sites is either bdgall or bdgall117 to make it easy to remember in case I have to login from a different computer. I like Hadi's idea of creating a spreadsheet. That is something I had not thought of doing and will probably do now that I have the idea.
